Jobdeck for gas and heating engineers — CP12s, annual checks, records
Twelve months is not a guideline. It is the interval Parliament wrote down, and the record has a retention period attached to it that outlives the visit by years.
What the law actually requires here
Gas Safety (Installation and Use) Regulations 1998, reg. 36(3)(a)
Every appliance and flue in a rented property must be checked for safety within 12 months of installation, and at intervals of not more than 12 months after that.
reg. 36(3)(c) and 36(6) — where the record goes and how long it lives
An existing tenant gets a copy within 28 days of the check and a new tenant gets the last record before they occupy. The record itself is kept until two further checks have been done — or, where the appliance is removed, two years from the last check, so it routinely outlives the appliance it describes.

What Jobdeck does about it
Retention measured in checks, not in months
The 1998 Regulations count retention in further CHECKS rather than in time, which no calendar reminder can express. Each check is a job on the appliance, so the two that have to have happened before the oldest record can go are two rows, not an estimate.
One appliance, one history
A boiler that has been serviced by three different engineers over six years has one thread on one card, with the photographs attached to it. The question a landlord asks — "when was this last touched, and by whom?" — is a question with an answer.
The annual visit schedules itself
Signing off this year's check creates next year's job, dated. A twelve-month interval kept in a diary is a twelve-month interval that slips to thirteen the first busy January.
A parts list that becomes an invoice
What went on the van and what went on the job are the same list, and the invoice carries the particulars the law requires — including the reverse-charge wording where it applies, which a business customer needs in order to deduct input tax at all.
